Before: a shared calendar

Margaret runs Willow House, a counselling practice: eight rooms, forty therapists, one shared calendar and a phone that rings at nine at night. "Is Room 4 free Thursday?"

With me, the rooms are set out in hourly sessions. Her therapists see what's free and book it themselves, an hour or a whole morning in one go. Students like Amira are on their own, lower price list. Regulars like Tom are on a plan of four blocks a month, and I keep count. When Tom cancels a morning, it goes straight back on his plan.

Swipe through it.

This is Margaret. She runs a therapy hub: 8 rooms, 40 therapists.
Margaret used to run it all on a shared calendar.
Amira rings: is Room 4 free Thursday? Managing the diary took up so much of Margaret’s time.
Tom, Jo and Bev ring too: can I grab an extra room, which room am I in, is anything free at two? And not just during business hours.
Margaret now uses Doris. Her therapists see what is free and book it themselves.
Margaret keeps her evenings. Margaret chose Doris for her room bookings.

Switching over

Moving across takes an afternoon of typing.

There's no import button, so here is what someone types in, and in what order. One of the team will walk you through it on a call if you'd like.

  1. Your rooms and opening hours
  2. Each weekly group as one regular booking
  3. The one-offs already in the diary
  4. Your members, a few at a time, with the welcome email held until you're ready
  5. Run both for a month, then stop the old one

Questions
Can a therapist book a whole morning?

Yes. You set a morning, an afternoon and an evening as blocks of sessions, and they book one in one go. A full day is a morning and an afternoon, booked together. On a plan, each block counts as one booking.

What if a therapist cancels one week?

They cancel that one date from their phone. If it was a block on their plan, it goes straight back on it.

Do my therapists need to download anything?

No. Doris opens in the phone's browser and goes on the home screen like an app. There is no app store.
