The messages every morning.

Before: a whiteboard and the morning messages

Priya runs Northlight Works, a co-working space: thirty hot desks, six parking spaces and two offices. Every single morning the messages start. "Is my usual desk free?" "Someone's in my seat."

With me, members book a desk from their phones and I pick a free one, and a parking space the same way. Kit drops in and pays as he goes. Lola comes two days a week on a plan, and Sam is in every day, with a desk and a space included. The two offices are booked by the hour for meetings. At month end I send everyone one statement with a card pay link, and the money goes straight into Priya's own account.

Swipe through it.

This is Priya. She runs a co-working space: 30 desks, 100 members.
Priya used to run it on a whiteboard.
Sam, Lola and Raj message her: is my usual desk free, can I swap Tuesday for Thursday, someone's in my seat. Every single morning.
Priya now uses Doris. Members book from their phones: pick a desk, or let Doris choose.
Priya has her mornings back. Members book their own desks.
What you get

What changes for a place like Priya’s.

Renting whole rooms rather than desks? Margaret and Dev show the other two ways.

On a trial

Everything, for up to 28 days. Co-working needs Diary, so there is no Free plan for desks.

On Diary

Members pick a desk or let me choose. Parking as its own group, so a desk and a space never clash. Offices by the hour. The floor map, on a tablet or a computer.

On Diary & Billing

Desk prices, a members price list, membership plans ("two days a week"), monthly statements with a pay link, and saved cards charged on the day. Money goes to your account; I take no cut.

Switching over

Moving across takes an afternoon of typing.

There's no import button, so here is what someone types in, and in what order. One of the team will walk you through it on a call if you'd like.

  1. Your rooms and opening hours
  2. Each weekly group as one regular booking
  3. The one-offs already in the diary
  4. Your members, a few at a time, with the welcome email held until you're ready
  5. Run both for a month, then stop the old one

Questions
Can a member have a desk and a parking space on the same day?

Yes. Parking is its own group, so a desk and a space never clash. On a full-time plan, both are included every day.

Do you take Direct Debit?

Not yet. Members pay by card: from the statement email, or automatically from a card they have saved.

Do statements show VAT?

Not yet. Doris has no VAT setting today, so a statement shows the amounts without a VAT line.
