The Tuesday clash.

Before: a paper diary on the front desk

Dev runs Brookside Community Centre: a hall, two meeting rooms and a kitchen. Every week he copied the regulars into the diary by hand, until Zumba and the whist drive both turned up on a Tuesday.

With me, Carla books her Zumba term in one go, and I won't let two groups have the hall at the same time. Sue adds the tea urn when she books her room for Knit & Natter, and once she has it nobody else can. When Jess rings about her daughter's birthday party, Dev talks it through and books her in as a guest before he hangs up, deposit and all. And Mike, the volunteer who does the books, sees the statements and payments and nothing he could break.

Switching over

Moving across takes an afternoon of typing.

There's no import button, so here is what someone types in, and in what order. One of the team will walk you through it on a call if you'd like.

  1. Your rooms and opening hours
  2. Each weekly group as one regular booking
  3. The one-offs already in the diary
  4. Your members, a few at a time, with the welcome email held until you're ready

Questions
Can the public book the hall online?

Not by themselves, on purpose. Someone rings, you talk it through, and you book them in as a guest. It works on every plan.

What about the week we close for redecorating?

Close the dates once. Everyone's regular bookings step round them.

We have a new secretary every few years. Is that a problem?

No. The diary belongs to the hall, not to a person. Add the new admin, and the old one can step down.
